Privacy Policy for The Compass Project

Last Updated: 12th October 2025

1. Introduction

Welcome to The Compass Hub ("we," "our," or "us"). We are committed to protecting your privacy and safeguarding your personal data. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website www.thecompassproject.com  and our platform services (collectively, the "Service").

By accessing or using our Service, you consent to the practices described in this policy.

2. Information We Collect

a) Information You Provide Directly:

  • Account Information: When you register, we collect information such as your name, email address, organization name, and user type (e.g., Coach, Employer, NGO).

  • Content You Submit: This includes questions, queries, and feedback you submit through our AI assistance interface ("Guided Help").

  • Communications: Records of your communication with us if you contact our support team.

b) Information Collected Automatically:

  • Usage Data: We collect anonymized data about your interactions with the Service, such as the features you use, the resources you access, and the time spent on the platform.

  • Log Data: Like most websites, we receive information ("Log Data") when you use our Service, including your IP address, browser type, pages visited, and the date and time of your visit.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To Provide and Maintain the Service: To create your account, provide customer support, and ensure the platform functions correctly.

  • To Improve Our Service: We use anonymized and aggregated data from user interactions (including chat queries) solely to improve the accuracy and relevance of our AI's responses. This data is used to refine the search and retrieval functions of our system and is not used to train a general generative AI model.

  • To Ensure Safety: To monitor for and prevent misuse of our Service, and to trigger our Critical Situation Protocol when necessary.

  • To Communicate with You: To send you important administrative messages, updates about the Service, and responses to your inquiries.

4. Our AI & Your Data: A Core Commitment

Our AI assistance interface is a Retrieval-Augmented Generation (RAG) system. This is fundamental to our privacy and safety promise:

  • Controlled Knowledge Base: The AI generates responses only from a pre-approved, curated library of documents developed with clinical and occupational specialists. It does not search the open web or generate unverified information.

  • Anonymized Interactions: All chats and queries are anonymized. We remove any personally identifiable information before using this data to improve our platform's performance.

  • Critical Situation Protocol: Our system is trained to identify language indicating a user may be in distress. In these instances, it will immediately provide a pre-written, hard-coded response with expert-approved emergency contact details and support procedures. This response is not generated by the AI.

5. How We Share Your Information

We do not sell, trade, or rent your personal information to third parties. We may share anonymized, aggregated data that cannot be used to identify you for the purposes of analysis and reporting.

We may disclose your information if required by law or in the good-faith belief that such action is necessary to comply with legal obligations or to protect the safety of our users or the public.

6. Data Security

We implement appropriate technical and organizational security measures designed to protect your personal data. However, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure.

7. Your Data Rights

Depending on your location, you may have the right to:
